Smith Accounts After Leaving the College
Smith accounts are deactivated after a student or employee leaves the college. The only exception to this is for faculty who have received formal emeritus status. After accounts are deactivated, they will no longer be accessible to the account holder or to any delegates. Here are the details on the timing of deactivation for the most common situations.
Timelines for deactivating student accounts, by reason for departure
- Graduation: accounts are deactivated 4 months after the student graduates
- Non-disciplinary withdrawal: accounts are deactivated 3 months after the formal date of withdrawal
- Disciplinary withdrawal or expulsion: accounts are deactivated immediately
Timelines for deactivating employee accounts, by reason for departure
- Voluntary departure (retirement or resignation): accounts are deactivated 1 month after the last day of work
- Involuntary termination of employment, reduction in force, or discharge: accounts are deactivated immediately
Account support for people leaving the college
- Students: Information Technology Services (ITS) offers workshops and documentation each spring to help graduating students transfer content from their Smith Google account to personal Google accounts
- Employees: Managers can provide guidance on where to store documents associated with the individual’s work, so those can remain accessible to the office or department after the individual’s departure.
