Article XII. Class Presidents’ Association
Section 1. Elections

The senior, junior, sophomore, and Ada (Co-)President(s) shall be elected by their respective constituencies in the spring and begin serving on the CPA. The Acting First-Year President shall remain on the CPA until the Sunday after the next first-year President is elected. After the spring election and before the conclusion of the spring semester, the newly elected members shall meet with their predecessors. Additionally, the newly elected members shall convene with the outgoing members of the CPA for a transition meeting, called and presided over by the outgoing CPA Co-Chairs, for the purpose of electing a new Class Chair.

Section 2. Members
  1. The Chairs;
    1. The Ada (Co-)President(s) Chair(s);
    2. The Class Chair;
      1. The student shall not be an Ada Comstock Scholar or a first-semester first-year.
      2. The student shall have been a member of an SGA organization for at least one semester prior to being elected as Chair.
      3. The student shall be enrolled and on campus for the full year. A student either studying abroad or graduating early is not eligible to run for this position.
      4. The term shall begin after the first meeting of the Class Presidents’ Association in which members will nominate or self-nominate and elect a member as Chair with a simple majority vote.
    3. The students shall call, preside over, and set the agendas for all CPA meetings.
    4. The students should handle the correspondence of the CPA.
    5. In the event that the office of Chair of the CPA is vacated, it shall be filled for the remainder of the term by another member of the CPA who shall be nominated or self-nominated and elected by a simple majority of the membership. If no remaining member is willing or able to fill the position of Chair, the Ada President(s) will be the sole Chair(s).
    6. The students shall serve on SGA Cabinet as voting members.
  2. All other Class Presidents.
Section 3. Duties and Powers
  1. The CPA shall meet at least once every other week at the discretion of the Chairs.
  2. The CPA shall collaborate on programming and shall inform students about the activities of the CPA through its members and affiliates. When necessary, the CPA shall collaborate on briefs and advertisements to be distributed to the SGA Cabinet, SGA Senate, or general student body, with relevance to the CPA and its constituencies.
  3. It shall consider suggestions referred to it by the SGA Cabinet, by any SGA Senate member or any committee of the SGA Senate, by any member of the administration or faculty, or by any other member of the association.
  4. The CPA shall maintain a thorough record of all CPA, Class, and Ada Cabinet proceedings and shall keep all CPA materials centrally accessible in the CPA Google Drive or on a similar platform, as decided upon by the membership.
  5. Attendance shall be recorded by the Chairs at each meeting of the CPA and should a member miss ⅓ or more of said meetings in a semester, their attendance may serve as grounds for a recomendation or vote of impeachment.
  6. Before the members of the CPA complete their respective terms, they shall collaborate on exit letters, handbooks, and manuals for the newly elected CPA members.
ARTICLE XIII. Ada Cabinet
Section 1. Members

All Ada Cabinet members must be elected or appointed by the Ada Class Cabinet. All members of the Ada Cabinet shall be elected during the general Spring election. After which, any unfilled seats shall be elected during the general Fall Election. Any seats remaining after the Fall election shall be appointed through the Ada Cabinet. Ada Cabinet Members cannot be appointed by Administration. The student working as the Ada Coordinator may not simultaneously hold a position on Ada Cabinet. Additional members shall be appointed internally by the Ada Cabinet to serve based on the needs of current Ada Comstock Scholars.

  1. Ada President(s)
    1. The Ada Presidential candidate(s) must be a current Ada Comstock Scholar;
    2. The Ada Presidential candidate(s) may choose to run for election as an individual or as a pair;
    3. The Ada Presidential candidate(s) must have held a prior position on the Ada Cabinet for one full academic semester prior to running for the Ada (Co-)President(s) position;
    4. The Ada (Co-)Presidents shall have one vote, despite whether there is one Ada President or two Ada Co-Presidents;
    5. The Ada (Co-)President(s) or another member from the Ada Cabinet as chosen by Ada Cabinet vote shall serve on the Ada Cabinet, the CPA (Class Presidents’ Association, see Article XII) and SGA Cabinet (as representatives of CPA). In the event that there are Ada Co-Presidents, both may serve on Ada Cabinet, CPA and SGA Cabinet;
    6. The Ada (Co-)President(s), or another member from the Ada Cabinet as chosen by Ada Cabinet vote, is responsible for attending Ada Stakeholders meetings;
    7. The Ada (Co-)President(s) shall act as a liaison between the SGA, the administration, the Ada Comstock Program and the Ada Stakeholders;
    8. In conjunction with the Ada Social Chairs, the Ada (Co-)President(s) shall oversee the Ada Program events and fundraisers hosted by the Ada Cabinet;
    9. In conjunction with the Ada Secretary, the Ada (Co-)President shall keep a record of Ada Program events, finances, fundraising, calendar and any other relevant materials to be submitted to both their successor(s) and the archives at the close of their term;
    10. The Ada (Co-)President(s) term shall begin following their election. It shall end at the last Ada Cabinet meeting in the following Spring term. The last meeting of the term shall serve as a transition meeting with both the outgoing and incoming Ada Cabinet members present;
    11. In the event that the Ada (Co-)President(s) either resigns or is impeached (see SGA Constitution) the remaining Ada Co-President shall serve as the Ada President for the remainder of their term. In the event that there is not a remaining Ada Co-President, the Vice President shall serve as the Ada President for the remainder of the term. In the event that there is no Vice President or the Vice President elects not to fill the position, the duties of the position, including attending SGA Cabinet, CPA, and Stakeholder meetings, shall be divided amongst the cabinet.
  2. Ada Vice President
    1. The Ada Vice Presidential candidate must be a current Ada Comstock Scholar;
    2. The Ada Vice President shall serve on Ada Cabinet;
    3. The Ada Vice President shall work in conjunction with the Ada (Co-)President(s) on Ada Cabinet initiatives, such as Ada Cabinet projects.
  3. Ada Secretary
    1. The Ada Secretary candidate must be a current Ada Comstock Scholar;
    2. The Ada Secretary shall serve on the Ada Cabinet;
    3. The Ada Secretary shall record minutes at each Ada Cabinet meeting;
  4. Ada Treasurer
    1. The Ada Treasurer candidate must be a current Ada Comstock Scholar;
    2. The Ada Treasurer shall serve on the Ada Cabinet;
    3. The Ada Treasurer is encouraged to serve on the SGA Finance Committee;
    4. The Ada Treasurer must attend Treasurer Training at the beginning of the academic year and keep up with all updates sent directly to class and organization treasurers through the year from the Office of Student Engagement;
    5. The Ada Treasurer shall maintain and manage the Ada Program funds;
    6. The Ada Treasurer shall communicate with the SGA Vice President of Finance for advice and support regarding Ada Cabinet finances.
  5. Ada Historian
    1. The Ada Historian must be a current Ada Comstock Scholar;
    2. The Ada Historian shall document the history of the organization through the year. The student shall provide specialcollections@smith.edu with access in order to be recorded in the College Archives.
  6. Ada Social Chairs
    1. The Ada Social Chair candidate(s) must be a current Ada Comstock Scholar;
    2. The Ada Social Chairs shall serve on the Ada Cabinet and up to two Ada Social Chairs shall serve at a given time;
    3. The Ada Social Chairs shall oversee and preside over the events hosted by the Ada Cabinet for the Ada Comstock Program, at the discretion of the Ada Cabinet;
    4. The Ada Social Chairs shall serve as a point of contact between the Ada Cabinet and Smith College staff when organizing and orchestrating events and activities hosted by the Ada Cabinet;
    5. The Ada Social Chairs shall manage and maintain the Ada Comstock Program social media account(s) in order to document events for promotional and archival purposes.
  7. Ada Senators
    1. The Ada Senate candidate(s) must be a current Ada Comstock Scholar;
    2. The Ada Senators shall act as a liaison between Ada Comstock Scholars, Ada Cabinet and SGA Senate;
    3. A minimum of four Ada Senators shall be elected to specifically represent the Ada Comstock Program;
    4. The Ada Senators shall serve on SGA Senate;
    5. The Ada Senators are each invited to serve on Ada Cabinet and a minimum of one Ada Senator shall serve on Ada Cabinet at all times;
  8. Ada Liaisons
    1. The Ada Liaison(s) must be a current Ada Comstock Scholar;
    2. The Ada Liaison(s) will serve as a point of contact between the class and the rest of the cabinet;
    3. The Ada Liaisons will be in contact with the Ada Coordinator;
Section 2. Duties and Powers
  1. The Ada Cabinet is an extension of the broader Student Government Association and is therefore a self-governing body protected under the Constitution and Bylaws of the Student Government Association of Smith College;
  2. The Ada Cabinet is responsible for representing and advocating on behalf of the current Ada Comstock Program and Ada Comstock Scholars;
  3. The Ada Cabinet shall be in regular communication with Ada Comstock Scholars and adjust Ada Cabinet initiatives according to the expressed need of Ada Scholars at large;
  4. The Ada Comstock Program funds shall be utilized at the discretion of the Ada Cabinet. The utilization of any Ada Program funds will be voted on by the Ada Cabinet. Spending of funds above $500 for a single purpose will be voted on by the entire Ada Comstock Program;
  5. Ada Comstock Program events hosted and funded by the Ada Cabinet will be conducted at the discretion of the Ada Cabinet in response to the needs of current Ada Comstock Scholars.
Section 3. Cabinet Meetings
  1. The Ada Cabinet meetings shall be held weekly. The time and place of Ada Cabinet meetings are at the discretion of the Ada Cabinet;
  2. Members of the Smith community who do not serve on the Ada Cabinet shall be invited to be a guest at an Ada Cabinet meeting by a ⅔ majority Ada Cabinet vote, per meeting basis;
  3. Guests attending Ada Cabinet meetings shall not have a vote;
  4. Members of the Ada Cabinet may choose to host open hours at the discretion of the Ada Cabinet;
ARTICLE XIV. Class Cabinets
Section 1. Class Elections

Each class must elect at least the following positions to sit on Class Cabinet. The senior, junior, and sophomore Presidents shall be elected in the spring semester. The remaining senior, junior, and sophomore Class Cabinet members shall be elected in the following fall semester. The first-year class officers shall be elected in the fall. They may run for and hold an office only for a class of which they are a member. The first-year class President shall become Acting President of the incoming first-year class following the student’s term as President. Candidates for class office shall be self-nominated. A class officer may run for and be elected to the same office for more than one term. However, the terms may not be consecutive.

SECTION 2. DUTIES AND POWERS OF OFFICERS

  1. Class President
    1. The student shall be responsible for maintaining communication within the class, including through meetings with the class representatives.
    2. This position is not eligible to be a split ticket, with the exception of the Junior Class President. [See Section 3-E].
    3. The student shall be enrolled and on campus for the full year. A student either studying abroad or graduating early is not eligible to run for this position. [See Section 3-E]
    4. The student shall act as a liaison between the SGA, the administration, and the class.
    5. The student shall sit on the Class Presidents’ Association.
    6. The student shall organize class events and fund-raisers.
    7. The student shall chair weekly Class Cabinet meetings.
    8. The student and Class Treasurer shall keep a record of class events, finances, fundraising, calendar and any other relevant materials to be submitted to their successor once their term is over.
    9. The term shall begin at the last Class Presidents’ Association meeting of the academic year following the regular spring election. It shall end on the last Class Presidents’ Association meeting in that same academic year, with the exception of the first-year President [See Section 3-E]. The student shall be available for counsel to the successor for the remainder of the academic year.
    10. In the event that the office of President is vacated, it shall be filled by the Vice President.
  2. Class Vice President
    1. The student shall be responsible for maintaining communication with their respective class in conjunction with the President and other relevant members of Class Cabinet.
    2. The student shall be a senator for the duration of the term and shall provide weekly minutes of the SGA Senate meetings to their Class Cabinet.
    3. If the class decides to hold meetings with the class representatives, the student shall call, preside over and, in conjunction with the Class President, set the agenda for class representative meetings.
    4. The student shall fill the office of President if it is vacated.
    5. In the event that the office of Vice President is vacated, it shall be filled by a student who shall be self-nominated and appointed by the Committee on Appointments.
  3. Class Treasurer;
    1. The student shall be in charge of the finances for the appropriate class.
    2. The student shall receive treasurer training from the Assistant Director of Student Engagement within the first 6 weeks of their term.
    3. In the event that the office of Treasurer is vacated, it shall be filled by a student, who shall be self-nominated and appointed by the Committee on Appointments.
  4. Class Secretary;
    1. The student shall record minutes of the Class Cabinet and the class representative meetings if they occur.
    2. In the event that the office of Secretary is vacated, it shall be filled by a student who shall be self-nominated and appointed by the Committee on Appointments.
  5. Class Historian;
    1. The student shall document the history of the organization through event posters, fliers, and identified photographs of Class Cabinet leaders, class members, and events in a folder named with the organization name and year. The student shall provide specialcollections@smith.edu and The Madeleine with access in order to be recorded in the College Archives and the yearbook.
    2. In the event that the office of Historian is vacated, it shall be filled by a student who shall be self-nominated and appointed by the Committee on Appointments.
  6. Class Social Chair(s);
    1. The student shall help with the organization of class social activities by coordinating with the necessary agencies, setting up for events, cleaning up after events, reserving spaces through the Social Network, and planning logistics of event promotion.
    2. In the event that the office of Social Chair is vacated, it shall be filled by a student, who shall be self-nominated and appointed by the Committee on Appointments.
  7. Class Representatives;
    1. One class representative shall be elected for every house or house complex, as defined in each house’s constitution. If a house has more than 20 students of a certain class, then they may choose to elect an additional class representative. If houses have few of a certain class, then they may choose to coordinate responsibilities between two or three houses.
    2. The student shall have certain responsibilities including but not limited to, maintaining communication between their respective Class Cabinet and the classmates in their house, attending class representative meetings should they occur, and volunteering at class events.
Section 3. Specific Class Responsibilities
  1. Senior Class President
    1. The student shall sit on the Committee on Honorary Degrees and help organize Rally Day, the Smith Ring Ceremony, and Commencement.
    2. The student shall be responsible for planning Senior Ball, Senior Week and other related activities with the Senior Class Cabinet.
    3. The student shall be responsible for certain duties pertaining to commencement weekend.
    4. Upon graduation, the student shall serve as the Class President for the Alumnae Association of Smith College for five years.
  2. Senior Class Vice President
    1. The Senior Class Vice President shall serve as the Class Vice President for the Alumnae Association of Smith College for five years upon graduation.
  3. Senior Class Treasurer
    1. The senior class treasurer shall serve as the Class Treasurer for the Alumnae Association of Smith College for five years upon graduation.
  4. Senior Class Secretary
    1. The senior class secretary shall serve as the Class Secretary for the Alumnae Association of Smith College for five years upon graduation.
  5. Junior Class President
    1. The student shall sit on various committees, including but not limited to the Committee on Honorary Degrees.
    2. May serve as Head of Junior Ushers during Reunion.
    3. The president may be elected as a split-ticket position as two candidates running together with one candidate serving as Junior Class President for the fall semester and the other serving in the spring.
  6. Sophomore Class President
    1. May serve as Head of Sophomore Push during Reunion.
    2. The student shall serve on the Smith Ring Committee
    3. The student shall be responsible for planning the Meet Your Major event.
  7. First-Year Class President
    1. The term shall begin at the first cabinet meeting of the academic year following the fall election. After the general Spring election, the student shall be Acting First-Year Class President until the position is elected. The student shall be available for counsel to the newly elected first-year class President for the remainder of the semester.
    2. The student shall assist in the organization of activities relating to the incoming class.
    3. The student shall keep a record of class events, finances, fundraising, calendar and any other relevant materials to be submitted to the newly elected first-year Class President once their term is over.
    4. The student shall be responsible for all duties of the first-year Class President until the Sunday following the election of the new first-year Class President.
